Position Overview:

RENOGY X is seeking a highly organized and detail-oriented Project Assistant / Project Coordinator Assistant to provide essential administrative and operational support to the Project Manager. This role is crucial in maintaining project documentation, coordinating schedules, facilitating communication, and supporting various project-related activities. The ideal candidate is proactive, an effective communicator, and eager to learn project management methodologies. Duties and Responsibilities:

This position will be responsible for leading a variety of activities including, but not limited to:

  • Perform general administrative duties such as scheduling meetings, preparing agendas, taking detailed minutes, and distributing them promptly.
  • Organize and maintain project files, documentation, and records (both physical and digital) in an organized and accessible manner.
  • Prepare and format various project documents, reports, presentations, and correspondence.
  • Act as a central point of contact for internal and external project stakeholders, directing inquiries as appropriate.
  • Facilitate communication between team members, departments, and external vendors/clients.
  • Help coordinate project meetings, workshops, and training sessions, ensuring necessary resources are available.
  • Distribute project updates and relevant information to team members and stakeholders.
  • Assist in maintaining and updating project plans, schedules, and timelines under the guidance of the Project Manager.
  • Track project progress, deliverables, and milestones, noting any deviations.
  • Help prepare progress reports, status updates, and other project-related summaries.
  • Ensure all project documentation adheres to established standards and is accurately filed.
  • Assist in monitoring project budgets, tracking expenditures, and processing invoices.
  • Help organize and track project resources, including equipment, materials, and personnel assignments.
  • Support the Project Manager in assigning and tracking tasks, ensuring team members have the necessary information and resources.
  • Follow up on action items and pending tasks to ensure timely completion.
  • Assist in maintaining logs for project risks, issues, and change requests.
  • Help track the resolution of identified issues and the implementation of approved changes.
  • Contribute to the identification of process improvements for project administration and execution.
  • Learn and adhere to company-specific project management methodologies and tools.

Qualifications:

  • High school diploma or equivalent required.
  • Associate's or Bachelor's degree in Business Administration, Project Management, or a related field preferred.
  • 1-3 years of experience in an administrative support, coordinator, or office assistant role.
  • Previous exposure to a project-based environment or direct project support is preferred.
  • Experience with project management software such as Asana, Trello, Microsoft Project, or Jira is a plus.
  • Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Strong attention to detail and high level of accuracy in data entry and administrative tasks.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proactive and self-motivated with a desire to learn and grow.
  • Strong problem-solving skills and ability to escalate issues appropriately.
  • Ability to work effectively in a collaborative team environment.
  • Flexibility to adapt to changing priorities and project demands.

Working Conditions:

  • Will sit, stand, or walk short distances for up to the entire duration of a shift.
  • Will lift, push, or pull up to 40 pounds on an occasional basis.
  • Required to use hands to grasp, lift, handle, carry or feel objects on a frequent basis.
  • Must be able to comply with all safety standards and procedures.
  • May reach above shoulder heights and below the waist on a frequent basis.
  • May stoop, kneel, or bend, on an occasional basis.
  • Able to adapt to different time zones and manage a flexible work schedule to accommodate client meetings and industry events.
  • Hours occasionally exceed 40 hours per week.
