Salary Range: $1,800-$2,500/month

About the Role: We are looking for a Project Manager with strong Executive Assistant capabilities to give the founder significant leverage day to day. This person will sit at the center of operations: organizing projects, keeping deliverables on track, capturing and distributing information, and holding stakeholders accountable.

This is not a passive assistant role. The right candidate is assertive, structured, and proactive. You are comfortable managing up, pushing for decisions, and ensuring commitments are met across multiple client engagements.

Key Responsibilities:

Project Management

  • Organize, track, and update project plans across multiple client accounts in partnership with the founder.
  • Capture live notes in client and internal meetings, including action items, owners, and deadlines.
  • Translate meeting outcomes into structured tasks and follow-ups, and ensure they are recorded in the appropriate tools.
  • Drive accountability across the team: follow up on open tasks, risks, and dependencies until they are resolved.
  • Maintain clear visibility of priorities and timelines so the founder always knows what needs to happen next.

Executive Support

  • Manage the founder’s schedule around client work, internal meetings, and deep-work time.
  • Help triage inbound communication and requests, surfacing what is most important and time sensitive.
  • Prepare light materials, summaries, or checklists before key meetings so the founder arrives prepared.

RevOps Context and Coordination

  • Learn and understand the core RevOps and GTM stack (HubSpot, Salesforce, and supporting tools) well enough to follow projects and actions.
  • Coordinate with HubSpot admins and other technical team members so projects move smoothly from idea to execution.
  • Ensure documentation is captured and organized so the team can reference decisions and processes later.

 

Key Requirements

  • 5+ years of experience in a Project Manager, Chief of Staff, Operations, or Executive Assistant role supporting a senior operator or founder.
  • A strong knowledge/background in SaaS/technology is essential for effective operation within the company’s environment.
  • Strong project management skills: organizing work, structuring timelines, and driving follow-through.
  • Comfortable managing up: you are willing to remind, nudge, and push for decisions from leadership.
  • High level of ownership and initiative: you do not wait for tasks, you anticipate what is needed and act.
  • Excellent written and verbal communication in English.
  • Ability to work across multiple projects and contexts without dropping details.
  • Full-time availability and interest in a long-term role.

Preferred Requirements

  • Experience in SaaS, RevOps, GTM, or working closely with technical or revenue operations teams.
  • Familiarity with CRM tools like HubSpot or Salesforce and related GTM tools.
  • Prior experience in a consulting, agency, or multi-client environment.
