Essential Functions 

  • Project Oversight: Lead the development of projects related to empty components, tubes, turnkey solutions, and accessories, optimizing every workflow aspect.  The project manager will also work with cross-functional teams including sales, supply chain, logistics, accounting, regulatory, quality and engineering to ensure smooth operations during new project launches. 

  • Quote Management: Request and analyze factory quotes, create GPI item code, create customer quotes, and collaborate with the sales team to finalize them.   

  • Timeline Management: Establish and manage project timelines, ensuring all key milestones are met and communicated to stakeholders.   

  • Progress Monitoring: Track project progress, facilitate timely communication regarding due dates and potential delays, and keep all parties informed.   

  • Documentation: Prepare, review and maintain all documents during the development process including submission approval form, filling and assembly instructions, preliminary IL/ QQ documents as well as all supplier or customer documents.  

  • Artwork and Sample Approval: Review and proof artwork, manage the submission of pre-production samples, and secure necessary customer approvals. 

  • Communication: Maintain continuous communication with factories, clients, and internal teams to ensure seamless project execution. The project manager is responsible for communicating key dates, timeline deliverables and updates in a timely manner.   

  • SAP Integration: Use SAP to manage project data, create materials for quoting, maintain supplier & customer price lists and facilitate processing the first-time order through PO requests. 

  • Financial Coordination: Request and manage invoices and packing lists and ensure accurate customer invoices with internal finance teams for first time order.   

  • Reporting: Maintain and update project details in SAP and lead open order report calls with clients.   

  • Logistics Coordination: Collaborate with logistics for freight quotes and shipment releases and manage relevant documentation for shipments, including Switch Bills and Free Trade Agreement (FTA) Certificates of Origin. 

  • Client Engagement: Participate in client meetings, both in-person and virtually, to provide updates and support project tracking.   

 

Job Skills & Requirements  

  • Proven project management experience, adept at maintaining timelines and coordinating with both partners and internal teams. 

  • Highly detail-oriented with excellent written and organizational skills 

  • Exceptional communication, troubleshooting, and problem-solving abilities 

  • Skilled in managing and positively influencing challenging or emotional customer situations, with a prompt response to customer needs. 

  • Excellent client-facing presence with a passion for cosmetics 

  • Team player, capable of thriving in collaborative environments. 

  • Able to adapt to frequent changes, delays, or unexpected events. 

  • Competent in interpreting and applying relevant federal regulations and customer technical specifications and assessing factory capabilities. 

  • Energetic with a positive attitude. 

  • Highly proficient in MS Office applications, with an emphasis on Excel. 

  • Proficient and experience in ERP systems, such as SAP.

This job operates in a professional office environment. This role routinely uses standard office equipment.
