The Project Manager is central to agency operations. You have experience managing enterprise agency of record accounts and complex brand strategy projects. You excel at resource and capacity planning for account management, creative, and paid media teams and can ensure all projects are scheduled and resourced to meet client needs while balancing team workload and maintaining clear communication across departments. You’ll play a critical role in optimizing efficiency, supporting a productive creative environment, and helping the agency meet its deadlines and business goals. The team relies heavily on this role for guidance on delegating projects and tasks, confirming achievable delivery dates, and providing updates on overall capacity.
Ideal candidate has deep experience in capacity planning and resource management with decision making skills grounded in data, collaboration and excellent communication. Candidate excels at identifying and implementing cross-functional solutions that will drive operational scale for our marketing campaigns and agency deliverables. Agency experience is a must.
Key Responsibilities
- Resource and Capacity Planning. Plan and optimize team capacity across a diverse set of deliverables, ensuring realistic coverage and alignment on client requirements. Contribute to growth and evolution of team planning, projections and forecasting. Partner with the department leads to balance workloads and optimize team capacity.
- Project Planning & Execution. Lead the planning and delivery timelines for agency of record and complex brand strategy projects, ensuring alignment with client goals and within established budgets.
- Team Coordination. Collaborate with designers, copywriters, strategists, and other team members to deliver high-quality creative work. Facilitate effective communication and workflow among project stakeholders.
- Client Onboarding and Support. Review client SOW’s to establish resourcing calendar and time allocations. Be a resource for Account Managers throughout the project lifecycle. Support clear communication of timelines to help manage clients' expectations and provide regular updates to ensure client satisfaction.
- Operational Strategist. Proactively identify opportunities to improve how we track and plan production. Elevate our project management functions to enable flexible, simple and impactful processes and structure. Drive accountability for operational and business improvement.
- Workflow Management. Create and maintain project schedules and templates for cross-functional areas and assets.
- Traffic Coordination. Support task creation, track progress, and ensure deliverables move seamlessly between account management, creative, paid media, and analytics teams. Monitor timelines and proactively identify risks or bottlenecks that could impact delivery.
- Reporting & Documentation: Maintain comprehensive project documentation, including internal status reports, meeting notes, and project deliverables.
- Data Fluency. Collaborate with our data analyst to enhance operational metrics and drive process improvements.
- Functional Expert. Technical expertise in operational planning and project management. Drive business innovation and vision for cross-functional teams.
- People and Culture Building. Be a strong culture role model, leading by example with the principles of our company values and work culture. Take a hands-on approach to daily scheduling and capacity challenges to support the team and meet business objectives.
- 3+ years of experience in project coordination, traffic management, or production within a performance media or creative agency.
- Degree or certification in marketing, communications, project management, or a related field.
- Proven ability to manage multiple projects simultaneously, with a strong track record of delivering projects on time and within budget.
- Excellent organizational and time-management skills with a keen attention to detail.
- Exceptional communication and interpersonal abilities; able to balance diplomacy and urgency.
- Proficient in project management tools (e.g., Asana, Teamwork, Clickup, etc.) and familiarity with media buying processes and creative software (e.g., Adobe Creative Suite) is a plus.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Collaborative mindset with a proactive approach to problem-solving.
- Proven ability to forecast resources, plan workloads, and adjust priorities in a dynamic environment.
- Adaptable and calm under pressure, able to pivot quickly while maintaining focus and composure.
- Skilled at analyzing project data to make informed decisions and process improvements.
- Comfortable managing a high volume of internal communications and competing priorities with clarity and consistency.
