Project Manager – Business Systems, Licensing & QA
Location: Remote (Latam and South Africa)
Contract: Independent Contractor, Full-Time
Reports to: CEO / Owner
Timezone: Must overlap with EST (at least 4 hours/day)
About Us:
We are a third-party debt collection agency focused on compliance, operational excellence, and ethical recovery. We're expanding rapidly and need a highly organized, tech-savvy Project Manager to help streamline and scale the business across licensing, documentation, training, and quality assurance.
What You'll Be Responsible For:
This is a high-ownership, implementation-focused role. You’ll work closely with the CEO to build, document, and manage critical business systems.
Key Responsibilities:
- Project Management
- Track and manage multiple ongoing business priorities and initiatives.
- Create and manage project timelines, deliverables, and reporting structures.
- Ensure cross-functional follow-through and accountability.
- Policy, SOP, and Licensing Oversight
- Help manage our licensing and expansion efforts across new states.
- Track deadlines, gather documentation, and complete compliance forms.
- Coordinate SOP and policy updates using Notion and OneDrive.
- Assign reviewers and ensure updates follow approval workflows.
- Quality Assurance Systems
- Build and manage a QA system that includes more than just call monitoring.
- Spot-check emails, SMS, consumer portal activity, and system triggers.
- Oversee audits of automation tools (e.g., Prodigal, Evolution Collect).
- Identify breakdowns in workflows and report with clear issue logs.
- Training Infrastructure
- Help build a self-paced, continuous training system using TalentLMS and SOPs.
- Create recurring onboarding paths and update old training assets.
- Track completion, flag knowledge gaps, and coordinate assessments.
What We're Looking For:
Required Skills & Traits:
- 2+ years of project management or operations coordination experience.
- Strong written English and process documentation skills.
- Familiarity with SOPs, QA frameworks, and basic compliance concepts.
- Proficient with Notion, Google Drive, and project tracking tools (e.g. ClickUp, Asana).
- Tech-savvy: able to learn and audit internal tools like Evolution Collect or Prodigal.
Bonus (but not required):
- Experience in BPO, collections, legal support, healthcare, or compliance-heavy industries.
- Familiarity with automation tools (Zapier, Make, etc.).
- Experience managing licensing or regulatory paperwork.
